Catering done Wight: How Eventree saves money and prevents food wastage at the Isle of Wight Festival.

Eventree has been working with the legendary Isle of Wight Festival for the last three years. During this time the organisers have worked closely with Eventree to implement:

  • An online health and safety induction process
  • Accreditation issuance via Eventree
  • Catering management

Catering and Accreditation are often referred to as the two most important and contentious parts of festival organisation which makes us wonder why we built a product to service them.

Perhaps we just love food, or perhaps we love making life more difficult for ourselves.

Whatever the case may be there’s one thing we pride ourselves on - we make life easier for our clients.

We’ve seen many variations on the age-old problem of how to manage catering
properly. But we’ve only seen it done Wight (sorry) at the Isle of Wight Festival.

Over a week-long period 12,000 meals are served to hungry crew and artists. You might think this leads to long queues or people turning up to eat who haven’t been booked in but nothing could be further from the truth.

● All catering requests are overseen and approved by the Festival Director,
Caroline Giddings, using Eventree, with confirmation sent instantly to each
individual.

● Individuals turn up for each meal with their unique QR code which is scanned by
a member of staff at the entrance to the catering tent.

● Managers are alerted to repeat offenders - i.e. those individuals who have been
booked in for catering but haven’t collected it. This is to prevent food wastage
caused when people don’t turn up but the food has already been prepared.

● Meal redemption data is fed (pun intended) in real-time to the Isle of Wight
finance team so they are fully aware that catering is running within budget and
can make any adjustments as needed.

● There are no queues at crew catering at all. Eventree admits people as fast as the
caterers can serve them.

In short, if you’re looking to implement catering management via Eventree at your event please speak to us and let us help you do it the Wight way. It really works.
Now all that’s left to do is eat some delicious cake. Yum!
