Case Study: Accreditation, Access and Catering Management for a U.S. Debut Production
In 2025, global fashion brand H&M hosted a festival in Los Angeles, bringing together music, fashion, and visual storytelling. The event featured performances from artists including Doechii, Robyn, Jamie xx, PinkPantheress and SAILORR, with two outdoor stages and a separate indoor club space designed to celebrate LA’s creative identity.
With thousands of attendees and a large on-site workforce, the organising team turned to Eventree to manage accreditation, health & safety compliance, and catering logistics. The platform supported operations across all access-controlled areas and helped maintain control in a fast-paced, high-profile production environment.
Meeting Complex Operational Needs
As a major production, the event required a system that could provide:
- Accurate crew and artist accreditation
- Streamlined Health & Safety inductions
- Granular access controls by location and time
- Clear communication to all user types
- Integrated catering requirements and meal tracking
Eventree was used across the following functions:
- Digital accreditation: Access passes were issued to crew, artists, staff and media, each with tailored permissions and QR codes for wristband exchange.
- Health & Safety compliance: Selected roles were required to complete a digital induction before their pass was activated.
- Access management: Entry permissions were controlled by individual and by time window, helping the security team manage flow on site.
- Catering: Meal requirements were submitted by each department in advance, including dietary needs and timings.
Outcomes
Eventree’s flexibility helped the team manage a large U.S. event without friction. QR code-based access (still not widely adopted across U.S. events) was implemented successfully, supported by automated emails and dashboard-based reporting.
Feedback from venue staff and the Los Angeles Police Department highlighted the professionalism of the event’s operational setup. Eventree’s contribution ensured the team remained agile on site while maintaining compliance and control throughout.
Following the event’s success, the organisers are preparing to use Eventree for further productions.
